Spark supports aliases for Shared Inboxes, and they work similarly to aliases for personal accounts.
Using aliases is beneficial in two ways:
- you can receive all emails and see them in your Shared Inbox;
- you can use aliases to reply and keep a professional sender identity.
Prerequisites:
1. You need to have a team created in Spark.
2. You should already have an email address you want to set up as Shared. At the moment, Spark supports Shared Inboxes for Gmail and G Suite accounts. If you already have an Alias added to your Google account in Spark, it will be added automatically to your Shared Inbox.
3. You need to have Spark Premium for Teams. If your team hasn’t upgraded to Premium and you’d like to check whether our Shared Inboxes functionality suits you, you're welcome to try a Spark Team Premium 14-day Free Trial while adding a Shared Account. No credit info is required to start the trial, and there is no auto-billing once it expires.
Before adding an Alias to your Shared Inbox, please do this:
1. Go to Gmail > Click the “Gear” icon > See all settings.
2. Select Accounts and import section.
3. Add your Alias as the Send email as:
Add an Alias to the Shared Inbox
- Open Spark Settings.
- Select Accounts and click the needed account.
- Shared Accounts> select your Shared Inbox Account.
- Click Aliases and enter your alias name and email address. They should be the same as in the settings of your email provider.
- Click the Create button.
- Now, you can use an alias to send emails.
While composing an email, click your email address at the top right and select your alias to use with this email.
To make an alias your default email address, open Spark Settings > Composer and select the alias in the Send emails by default from section.
- Open Spark Settings.
- Select Accounts and click the needed account.
- Shared Accounts> select your Shared Inbox Account.
- Click Aliases and enter your alias name and email address. They should be the same as in the settings of your email provider.
- Click the Create button.
- Now, you can use an alias to send emails.

at the bottom.
- Go to Email Accounts>Shared accounts and select the needed account.
- Tap Aliases> Fill in the Alias name and Alias address details > Save.
- Now, you can use an alias to send emails.

- Tap the menu icon
at the top left.
- Open Settings > Email Accounts.
- Shared Accounts> select your account.
- Aliases > Add alias.
- Fill in Alias name and Alias Address.
- Tap Save.
- Now, you can use an alias to send emails.
While composing an email, tap your email address at the top and select your alias to use it with this email.
To make an alias your default email address, open Settings > Email Accounts > Default Email Address and select your alias.
Remove Alias
- Open Spark Settings.
- Select Accounts.
- Shared Accounts > select your Shared Inbox Account.
- Aliases > Click the Delete button.
- Open Spark Settings.
- Select Accounts.
- Shared Accounts > select your Shared Inbox Account.
- Aliases > Click the Delete button.
- Tap the menu icon
at the top left.
- Tap Settings
at the bottom.
- Go to Email Accounts > Shared accounts and select the needed account.
- In the Aliases section, select the alias you want to delete.
- Tap Delete alias.
- Tap the menu icon
at the top left.
- Open Settings > Email Accounts > Shared Accounts.
- Tap the needed account.
- In the Aliases section, select the alias you want to delete.
- Tap Delete Alias.
Tips on adding an Office 365 account as Shared Inbox in Spark for Teams
1. Set up in Gmail:
- Connect your O365 account via the Gmail admin panel.
- This allows Gmail to fetch emails from Office 365.
2. Set up in Spark via SI:
In Spark (under the SI section), add this O365 account as an alias.
3. Make sure to use the correct mail server settings:
By default, Gmail will apply incorrect settings, so make sure to manually set them as follows:
Incoming Mail (IMAP):
- Server: outlook.office365.com
- Port: 993
- Encryption: SSL/TLS
Outgoing Mail (SMTP):
- Server: smtp.office365.com
- Port: 587
- Encryption: STARTTLS
4. Required steps for your O365 administrator:
To make this work, your O365 mail administrator must:
- Enable SMTP authentication:
Authenticated SMTP in Exchange Online
- Disable Security Defaults (if enabled):
Security Defaults in Microsoft Entra (Azure)
Without these actions, the connection will not work.
IT admins must make these changes as they affect account security.
Some companies may decline these steps because they rely on legacy authentication methods.
Unfortunately, Spark and Google cannot bypass these limitations — Microsoft enforces them.
