What smart reply actually does for you
You open an email on your phone at 7 a.m. Someone's asking if you can make a meeting Thursday at 2 p.m. You check your calendar. Yes, you can. And instead of typing anything, you tap "Works for me!" and you're done in four seconds.
That's smart reply at its best: a fast exit from the low-stakes, high-frequency email exchanges that eat up disproportionate amounts of time. It's not trying to write a complex reply for you. It's handling the easy ones so you don't have to.
Smart Reply launched in Gmail in 2016 and other email clients have since introduced their own versions, including Outlook and Apple Mail. When it launched, Google described the system as using a hierarchical language model. The system analyzed email context using a hierarchical language model to generate relevant short responses without storing or exposing email content.
How smart reply works
The model reads the email you received and suggests two or three short responses based on what a typical reply would look like given the context. The suggestions appear as clickable chips below or above the reply box, depending on the client.
Tap one and it populates the compose field. You can send it as-is or edit it first. Most people either send directly or add a line before hitting send.
A few things to know about the suggestions:
They're generated client-side with privacy in mind. Gmail doesn't use your email content to train external models. The suggestions are contextual, not stored.
They skew positive and neutral. You won't see "No, I can't make it" suggested in the same breath as "Absolutely!" But you will often see a range of responses covering likely yes, maybe, and "let me check" answers.
They improve with usage. The more you use Gmail and interact with your inbox, the better the suggestions get at matching typical responses.
Setting up and using smart reply
In Gmail:
Smart Reply is on by default in Gmail. To check or toggle it:
- Open Gmail and click the gear icon, then hit See all settings
- Go to the General tab
- Scroll to Smart Reply and choose Smart Reply on or Smart Reply off
- Scroll down and click Save Changes
On mobile, the suggestions appear as chips at the bottom of an open email. Tap one to use it.
Suggested replies in Outlook:
Microsoft Copilot in Outlook handles suggested replies for Microsoft 365 subscribers, but basic quick reply suggestions are available for most Outlook accounts. In the Outlook mobile app, suggested replies appear as text options at the bottom of the message view. Tapping one opens a pre-populated reply you can edit or send.
Spark's AI assistant:
Spark's AI assistant takes a step beyond basic smart reply. Rather than just suggesting short one-liners, Spark's AI can draft a full reply based on the email thread context. You can prompt it with a few words ("decline politely" or "ask for more time") and get a complete draft. More control, more options, more useful for anything beyond a quick yes or no. When creating a draft, you can also select Quick +AI Replies for faster suggestions.
When to use smart reply (and when to skip it)
Smart reply earns its keep in specific situations. Scheduling confirmations. Quick acknowledgments. Short answers to yes/no questions. Anything you'd type in under 10 words anyway.
Skip it for anything that requires nuance, needs a personal touch, or has stakes attached. A client who just raised a concern deserves a real reply, not a suggested chip. A first message to a new prospect shouldn't go out as a tapped template either.
The rule of thumb: if you'd write the same thing regardless, use smart reply. If the email actually needs thought, give it thought.
Know when to type. Smart reply doesn't replace judgment, it just speeds up the easy calls.
